Cookies & Tracking Policy

Last Updated: 07 January 2025

This Cookies & Tracking Policy ("Cookie Policy") explains how DocuBay Corporate Services Provider L.L.C. ("DocuBay", "we", "us", or "our") uses cookies and similar technologies when you visit or use our websites, applications, and related services, including www.docubay.ae and hub.docubay.ae (together, the "Platform").

This Cookie Policy should be read together with our Privacy Policy, which explains how we process personal data more broadly.

1. What cookies and similar technologies are

Cookies are small text files placed on your device (computer, phone, tablet) when you visit a website or use an online service. Cookies help websites function, improve performance, remember preferences, and provide analytics or advertising insights.

We may also use similar technologies such as:

  • Pixels / tags / beacons (small code snippets that track page views or actions),
  • SDKs (software libraries in certain environments),
  • Local storage (browser storage to remember settings),
  • Server-side logs (records of requests sent to our servers).

For simplicity, we refer to all of the above as "cookies" in this Cookie Policy.

2. Why we use cookies

We use cookies to support legitimate operational needs and, where required, based on your consent. In practice, cookies may be used to:

  1. Operate the Platform reliably (security, session continuity, page routing).
  2. Secure accounts and reduce fraud (detect suspicious logins, protect sessions, prevent misuse).
  3. Remember preferences (language, region, cookie choices, display settings).
  4. Measure performance (site usage analytics, feature adoption, page load issues).
  5. Improve product experience (identify broken pages, improve onboarding flows).
  6. Support marketing and attribution (under consent, measure ad performance and improve relevancy).

3. Cookie categories we use

We group cookies into the following standard categories. Some categories are essential and cannot be disabled because the Platform cannot function properly without them.

(A) Strictly Necessary Cookies (Always On)

These cookies are required for core functionality and security. They typically enable:

  • Account login and session management
  • Load balancing and routing
  • Security controls and abuse prevention
  • Cookie preference saving (so you aren't repeatedly asked)

If you disable these via your browser settings, parts of the Platform may not work.

(B) Functional Cookies

These cookies help personalize your experience and remember preferences (for example, language and UI settings). They are not strictly required, but they improve usability.

(C) Performance & Analytics Cookies

These cookies help us understand how users interact with the Platform (for example, which pages are visited, where users drop off, and what features are used). We use this information to improve the Platform, fix issues, and optimize user journeys.

Analytics data may be collected through tools such as tag managers and analytics platforms (examples include Google Tag Manager and similar technologies), depending on your consent settings.

(D) Marketing / Advertising Cookies (Optional)

These cookies help measure marketing effectiveness and, in some cases, deliver more relevant messages. They can track visits and actions to help us understand whether campaigns are working (e.g., submissions of lead forms, demo requests, or sign-ups).

We do not sell your personal data. Marketing cookies are used primarily for attribution, measurement, and optimization, and only where consent is provided (where required by law).

4. How consent works on DocuBay

When you visit our Platform, you may see a cookie banner or cookie preferences prompt. Where required, we request your consent before placing any non-essential cookies (e.g., analytics and marketing cookies). You can:

  • Accept all cookies
  • Reject non-essential cookies
  • Customize preferences by category

Your cookie choices are stored so we can respect them on future visits. You can change your preferences at any time using the Cookie Preferences link (if enabled) or via your browser settings.

Important: Consent may be stored on a per-browser/per-device basis. If you switch devices or browsers, you may be asked again.

5. Cookies used on the website vs. the web application

Because DocuBay includes both a public website and a logged-in web application, cookie usage may differ:

Public Website (www.docubay.ae)

Cookies here may focus on:

  • Site performance and analytics
  • Lead form measurement
  • Marketing attribution (if enabled)

Web Application (hub.docubay.ae)

Cookies here may focus on:

  • Secure logins and session continuity
  • Account security and fraud prevention
  • Remembering user settings
  • Product analytics to improve workflows

6. Third-party cookies and tools

Some cookies are placed by third parties that provide services to us (for example, analytics, performance monitoring, or marketing attribution). These third parties may process limited technical data such as:

  • Device identifiers
  • Browser type
  • Approximate location (city/region)
  • Page events and timestamps

Third parties operate under their own policies. Where they act as our processors/service providers, we require them to apply appropriate contractual and technical safeguards.

7. What information cookies may collect

Depending on the category and your settings, cookies may collect:

  • IP address and device/network identifiers
  • Browser type, operating system, language settings
  • Pages visited, time spent, clicks, and navigation patterns
  • Login/session events (web app)
  • Referring pages and campaign parameters (UTMs)
  • Error logs and performance data (to debug issues)

Where this information relates to an identifiable individual, it may be treated as personal data and handled under our Privacy Policy.

8. Managing cookies

You can manage cookies in several ways:

(A) Cookie banner / preference center (recommended)

Use the cookie preference controls (if available) to enable/disable non-essential categories.

(B) Browser controls

Most browsers allow you to:

  • Delete existing cookies
  • Block all or certain cookies
  • Set alerts when cookies are placed

Blocking cookies may reduce functionality, especially in the web application.

(C) Device settings (where applicable)

Mobile devices may provide platform-level controls for advertising identifiers and tracking permissions.

9. Do Not Track (DNT)

Some browsers offer a "Do Not Track" signal. Because there is no universally adopted standard for DNT, our Platform may not respond uniformly to these signals. You should use our cookie preference controls and browser settings to manage tracking.

10. Data retention

Cookie lifetimes vary depending on purpose:

  • Session cookies expire when you close your browser.
  • Persistent cookies remain until they expire or are deleted.

We aim to keep cookie retention proportionate to their purpose and aligned with our data retention practices under the Privacy Policy.

11. International data transfers

Some cookie-related service providers may process data on infrastructure located outside the UAE. Where cross-border transfers occur, we apply appropriate safeguards and require reasonable security standards consistent with applicable law.

12. Children

The Platform is intended for business users and is not designed for children. We do not knowingly use cookies to profile or target children.

13. Updates to this Cookie Policy

We may update this Cookie Policy from time to time to reflect changes to the Platform, legal requirements, or our cookie practices. We will update the "Last Updated" date and, where appropriate, provide additional notice.
